Q: Where is the Exhibitor Hall located at the Conference?
A: We will meet at Boston Marriott Copley Place (110 Huntington Ave, Boston, MA 02116) on the fourth floor. Your table will be marked with an assigned number which will have been emailed to you the week of March 21. Please stop by the registration desk first for your badge.
Q: What time should we set up our exhibitor table on conference day?
A: Tables may be set up anytime after 7:00 a.m. on April 5, 2022 at the Boston Marriott Copley Place. There will be a one-hour setup period as guests will start arriving at 8:00 a.m.
Q: What time should we break down our table area?
A: Break down may occur at any time you like but should be completed no later than 4:00 p.m. on conference day/April 5.
Q: Is there a conference app or virtual component to the conference?
A: There is no conference app but we will offer a virtual component to the conference. Select sessions will be livestreamed on the day of the event and all sessions will be available as a recording after the conference provided we have permission from the presenter. Details about how to access these will be emailed to all conference guests closer to event day.
Q: Will we have power and Wi-Fi at our table?
A: Yes. There will be no need to order extra power or Wi-Fi from the hotel. AFP has purchased a select number of Wi-Fi logins. Please let us know on the day of the event (or email us at info@afpmass.org) if you need an extra extension cord.
A: The hotel follows strict protocols with regard to attendees or exhibitors shipping items to to the hotel for events. These protocols have been updated recently by the hotel and can be found here. Conference materials are shipped at the expense of the sponsor.
Q: When can we expect to receive exhibitor table numbers?
A: Table numbers will be issued during the week of March 21, 2022 to each sponsoring organization.
Q: When can we expect AFP to send the Meet Our Sponsors newsletter to conference guests?
A: A newsletter highlighting our sponsors and exhibitors Meet Our Sponsors will be emailed to all conference guests during the week of March 28, 2022.
Q: When can we expect to receive a list of conference attendees?
A: Typically these are shared with all sponsors just after the conference thereby ensuring inclusion of as many conference registrants as possible (opt-ins only). The use is limited to a one-time outreach.
Q: I haven't heard from anyone at AFP. What should I do?
A: AFP has connected with all known sponsors with conference details such as how to register guests, and date and location information. If you have not received outreach from us it may be that our emails are getting caught in a spam folder. Please add us to your safe sender list (info@afpmass.org) or email us from a separate email address (to info@afpmass.org) if you are not receiving our emails.
Q: Do I get any complimentary passes for my table attendee(s)?
A: Instructions for registering your table attendees are included below. The allotted number of complimentary guests will vary at each sponsorship level.

Q: Does each person from my organization need to register?
A: Yes, especially with COVID safeguards in place, only registered guests will be permitted to attend on conference day. Whether staffing the table, or attending sessions, all sponsor employees must be pre-registered.
Q: Is there a discounted rate for sponsor employees, outside of the complimentary tickets allotted?
A: Additional guests from your organization (beyond the complimentary ticket holders) may register as members of our chapter. Choose ticket type “Special Rate: Sponsor” and use the required code: Sponsor.
Q: What will be provided to us in the Exhibitor Hall (i.e. chairs, table)?
A: There will be a 3 x 6 foot table, with chairs (as many as you need) and a wastebasket. Extension cords to an outlet can be arranged as needed onsite. There will be space around the table perimeter for you to place items on the floor like banners or signs if you have them as long as these don't interfere with another exhibitor's space.
Q: How is my table location determined and what can I expect for traffic?
A: All tables will be assigned the week of March 21.Conference coffee breaks are situated within the Exhibitor Hall to attract guests to sponsor tables. There is a break between every session at: 8-9 am; 10-10:20 am; 11:20-11:40 am; 1:00-1:15 pm; 2:15-2:30 pm; and 3:30-3:45 pm. Breakdown is planned for 3:45-4:00 pm. Q: I am not sure if I formally became a sponsor. How should I get started?
